Creating a Credit on File as a Gift card in lieu of a Monetary Refund.

If you need to give a Monetary Refund to a customer but do not wish to issue a cash or credit card refund, here is a simple solution.

Please note this is an Admin level User Guide and will require an Admin level access.

Settings that are required to be enabled/toggled to the ON position:

  • Settings > Point of Sale (POS Configuration) > Free payments

Example setup

In the example below the customer has booked a personal belay class for the value of $65.00.

Cancelling the booking using the three green dots to the left of the customer name, and importantly Cancelling without Refund.

Issuing the Credit on file as a Gift card

Navigation: Point of Sale

Select:

  1. Gift Card

  2. Custom gift card and input the value, or if you have a pre built Gift card for the correct booking value or Session, you can select this

  3. IMPORTANT. Do Not Assign the customer to the cart.

  4. IMPORTANT. Select the Circle Person Icon to the right of the gift card product and Assign the customer - Do NOT use the Assign All button.

  5. Checkout button

  6. Free button

The Gift card will now be present on the customer account in the customer's wallet.

If as an Administrator you do not wish for staff to be able to see/use the "Free" button in the POS workflow, you can turn the Free payments in the POS configuration to the OFF position once you have issued the gift card.
