Guide to Parking a Transaction ๐ ฟ๏ธ
Parking a transaction is a vital function when creating an order, allowing you to temporarily set aside a sale that can't be completed immediately due to an unresolved issue. This prevents you from losing the work you've already done on the order and frees up your terminal to serve the next customer.
Why Park a Transaction?
You should park a transaction when an issue is detected with a customer or a product that prevents the sale from being finalised. Common reasons include:
Waiver Issues: A required waiver is missing, expired, or incomplete for one or more customers on the order.
Competency/Certification Status: A customer's required competency, certification, or membership status is invalid or expired for the item they are trying to purchase (e.g., buying an advanced course without the prerequisite certificate).
Customer/Account Issues: There are unresolved problems with the customer's profile or account information.
Payment Delays: The customer needs time to retrieve a different form of payment or a card is declined, and they need to call their bank.
Example Scenario
Two customers assigned a pass in a single transaction have a waiver issue, and this must be resolved before the transaction can be completed.
You have added two passes to the order and assigned them to two customers.
The system flags an issue (like the missing waiver).
Instead of deleting the entire order and making the customer wait, you use the "Park Transaction" feature.
This saves the current order progress (the items, the customers, and the calculated total) to be retrieved later.
You can then guide the customers to resolve the waiver issue (e.g., filling out a digital form) while you serve the next customer.
Once the waivers are completed, you simply retrieve the parked transaction and finalize the payment.
How to park a transaction
Initiate Parking: When the issue is flagged (e.g., the waiver warning appears), look for the 'the dots' button next to the trash icon on the transaction screen.
Click on 'Park Transaction'
Add a name to identify this transaction: e.g. the customers name or group name
Notes (optional) : Add any notes as a reminder as to the reason the transaction is parked
Click 'Park transaction' to park and clear the POS ready for the next trasaction
Retrieve: When ready to complete the sale, navigate to the same 'the dots' button next to the trash icon and select 'Recall parked transactions'
Select the parked order (from the name you created) by clicking on the '+' icon
Resume the transaction to finalise payment.
