Stock setup (POS)

Before you start we highly recommend that you have setup your tax rates for your location. Settings > Business Settings > Sales Taxes & Fees


Steps

  1. Select Products and then select Stock in the drop-down. This will open up the Stock Main screen.

    1. Here you are show a Products summary with a Product count, variant overview.

  2. Select Categories

    1. This is a setup feature that you need to do before creating stock items, this will allow you to organize your store effectively.

    2. Select “+ create category” to create new categories.

    3. Create categories as per the requirements of your stock.


  3. Select Products

  4. Select “+ create product” to open up the side bar

The sidebar for product creation is a long list of detailed items that allow you to create a highly detailed product which can be sold online and in multi site locations (if you are a multi-site).



Basics

  1. Product name. What would you like the item to be displayed as in the POS screen & online.

  2. Image

    1. When importing an image, we recommend uploading from your computer - do not attempt to drag an image from any web search engine.

  3. Status. Select the status of the product

    1. Active will be uploaded once the save button is pressed.

    2. Draft allows you to build out your products in a draft state.

  4. Toggle the product as favourite. If you wish for this to be a highlight time in POS. Recommended for high volume purchases

  5. Description. This description will be public facing if you enable online sales, and will be used by your front desk staff, make it awesome and accurate!

  6. Detailed description. Toggling the detailed description enables you to create an in-depth longer description.

  7. Categories. Select the organizational category to organize your POS.

  8. Availability. If you are a multi-site operator you can select which site the product is available for purchase in.

  9. Sell Online. Toggling the online sale opens up a secondary toggle option, which enables you to hide the product from online sales. Useful for special offer items.


Inventory

  1. Track Quantity. Enabling this ****Toggle enables inventory tracking of your product and opens up a new option for your store(s)

    1. Quantity. Enabling the track quantity toggle enables you to input the PAR quantity and the Quantity in Stock.

  2. Barcode. Add in your barcode to enable usage of a barcode scanner.

  3. Sku. Add in the product sku for inventory management

Variants

Variants

  1. To create product variants (e.g shoe sizes), click on the “+ create variation” button

  2. This will open a new side bar “Create new product variation” and the product name will be listed in green.

  3. Clava auto creates a Variant name based on the Products name, we recommend editing this for accuracy.

  4. Edit the Status of the product.

  5. Update the inventory of the product as per guide instruction above.

  6. Update the pricing, this allows you to have variants of different prices. See the “Pricing” section below for guidance .

Pricing

  1. Standard price. This is your MSRP.

  2. Sale price. Clava enables you to preset your sale prices, helpful for future planning.

  3. Cost price. How much the item was purchased for.

    1. Once the Standard and Cost are created you will see a helpful margin calculator giving you the margins you are making from each product. Super helpful to stay profitable!

  4. Toggle for Sale item. Toggling this will put the product on sale, and the sale price you have created will be automatically displayed in the POS cart. The margin calculator will also show the updated margin for the Sale price.

  5. Toggle for charging tax. Toggle this to charge the Tax Rate you setup in Settings: Settings > Business Settings > Sales Taxes & Fees.

Reminder: Always save your products!
