Xero Accountancy Integration

You can connect your Clava instance to Xero to automate key accounting workflows and reduce manual finance admin. This gives a secure connection flow, clearer visibility into sync health, and foundations for reliable syncing.

Navigation: Settings > Integrations > Accountancy > Xero

Getting started

  1. Toggle to Enable Xero

  2. Select Connect to Xero

    1. You will be redirected to Xero's OAuth authorization page.

      3. Sign in, select your Xero organization, and authorize the connection.

      4. After being redirected back, the Connection Configuration modal will open.

  3. Select the Three vertical green dots to open up the menu

    1. Mappings - opens up the Configure Account Mappings side bar.

      1. Bank Account - Define the Xero bank or checking account where collected revenue is deposited. Each sync posts the total as a lump-sum debit to this account.

      2. Revenue Category Mappings - Map each revenue category to a Xero revenue account. Unmapped categories will be skipped during sync.

      3. A count is issued here (0 of 19 categories mapped.)

      1. Configure Tax Rate Mappings - Map each platform tax rate to a liability account in your accounting software. During sync, collected tax is credited to the mapped account instead of being bundled with revenue.

    4. Edit - This allows you to edit the connection:

      1. Account Mapping Mode - Choose how revenue category accounts are mapped for this connection. Choosing between:

        1. Single book of accounts - Use one shared set of revenue account mappings across all selected locations.

        2. Book of accounts per location - Configure revenue account mappings per location. Sync creates a separate journal entry for each location.

  4. Select the Down Chevron to open up the Sync Drop down options

  5. Choose your Sync mode (Manual or Automated).

    1. Manual allows you Sync on-demand when you need it.

    2. Automated allows you to define a Sync Frequency with choices of:

      1. Daily: Runs every day. Covers the full previous calendar day (midnight to midnight), regardless of run time.

      2. Weekly: Runs every Monday. Covers the prior full week (Monday through Sunday).

      3. Monthly: Runs on the 1st of each month. Covers the full prior calendar month.

    4. Save and Enable.
