PIN Management

Control fast switching between users, lockouts and timing, a great Hot Desk solution

The Operator PIN provides a lightweight profile-switching layer - think hotdesk, within an active, fully authenticated Clava session. Staff log in once at shift start via email/password, then use a secure PIN to swap active profiles, handle manager overrides, or resume work after a session time.

Navigation: Settings > PIN Management

First Time setup

  • Admins need to generate PINs for all staff (mass PIN reset via email)

  • Risk: if toggled on without doing the PIN reset, no one can use PIN and users fall back to username/password

Step 1. Enable PIN.

  • Toggle to the ON Position

Step 2. PIN Configuration

  • Define the PIN Length

    • Set the number of digits required for team member PINs.

    • PIN's can be 4, 6, or 8 digits in length

note: Changing the PIN length when PIN's have already been issued will trigger a global PIN reset.

Step 3. Periodic PIN Rotation

  • Input how many Failed attempts before lockout

    • After this many wrong PINs in a row, the terminal requires a full email and password sign-in, then a timed lockout, then a Super Admin reset.

    • Default setting is 3.

  • Lockout duration (minutes)

    • How long a terminal stays locked out after repeated failures.

    • Default is 60 minutes.

Step 4. Inactivity Timeout

  • Session Timeout Threshold

    • This controls how long a session can remain idle before the user is automatically logged out.

    • System default is 300 seconds.

Step 5. Preview the Timeout modal to see its usage and flow.

Step 6. Remember to Save your work!!

Additional information

Locked Out Users

In the event that a user gets locked out, login as an admin and you can unlock the locked users easily with one click!

Email communication

Once a user has been assigned a PIN they will receive email communication with their new PIN number.

PIN visibility.

Admin can create & reset PINs, but Admin's cannot view existing PINs.

Access

Admins can control access to the PIN reset module within the Roles feature:

settings > Roles > Team & Communication. Here you can control access to the "Team PIN reset" with view, edit and no access.
