Manual group bookings (Admin)

Operators can create manual group bookings for phone bookings, walk-ins, accessibility needs, and “help me book” scenarios.

Manual Group Bookings (Admin booking)

The manual group booking is a handy feature for users who need to assist customers with a group booking creation.

The booking setup is defined by the current group booking format and is outlined in the help Guide: How to create a group booking.

This Guide covers:

  • Create a manual group booking for an existing customer (search and select).

  • Create a manual group booking for a guest customer (no full account required).

  • Manually add/assign participants (existing or guest) to any group booking - helpful when the person responsible for making the booking has not sent out the RSVP link to all attending participants.

  • View incomplete waivers per participant

    • Direct guest customers to the new Waiver Station Kiosk to complete any required waivers.

Create a manual group booking for an existing customer (search and select).

Navigation: Schedule > Select a Group Booking

  • Select the + Manual Booking Button

  • The Sidebar window will show

  • Select the existing customer (if they have an account on file, or create a new customer using the New Guest functionality.

  • Input the Group booking details and the Group booking size

  • Add the customer or household members (Green Add button next to the booking customer)

  • Proceeded to complete the booking with the standard payment methods

  • If you close the POS window you will have to restart the manual booking process.

Manually add/assign participants (existing or guest) to any group booking & View incomplete waivers per participant

Navigation: Schedule > Booking you have booked.

  • From the completed booking you can manually add participants using the +Add Participant button

  • Simply click and search the participants name via the easy to use customer look up tool.

    • This is helpful when the person responsible for making the booking has not sent out the RSVP link to all attending participants.

  • From the same screen you will be able to see the waivers missing per participant.

  • Direct guest customers to the new Waiver Station Kiosk to complete any required waivers.

Note

  • Customers can still book online as normal.

  • Payment handling follows the same approach as when a customer makes a group booking today.

  • Manual bookings appear in your system the same way as customer-created bookings, with metadata indicating they were created by an operator.

  • Guest booking confirmation depends on your existing guest booking setup.
