Check-in Settings (NEW JULY 2026)

Configure all settings relating to check-in permissions including global check-in settings, admin check-in and the self check-in kiosk.

Check-in Settings

Check-in settings allows you to set permissions relating to both operator and customer self-check-in.

Global settings

Global settings are the first point of control.

Allow unrestricted check-in for all customers.

  • When this control is Disabled / toggled OFF, you can access the first 4 controls of Self Check in Kiosk and the Admin Check-in Control, allowing you more risk control and customization of the check-in process.

  • When enabled / toggled ON, any customer with an active pass or pre-booked session can check in automatically, bypassing any/all restrictions. E.g. incomplete waivers, flagged waivers, competencies, etc.

Allow Check-in Competency Override

  • When enabled / toggled ON, the 'Check-in competency override' will become available in the customer profile.

Enable Competency Rules

  • When this control is Disabled / toggled ON, you can access the first 2 controls of Self Check in Kiosk and the Admin Check-in Control, allowing you more risk control and customization of the check-in process.

Self Check-in Kiosk settings

The Self Check-in Kiosk is a user-friendly web page that allows your members to quickly and easily check themselves in for classes or general entry.

  • It's typically displayed on an independent tablet or laptop in your reception area with either a barcode scanner or USB camera connected to a device, or, using the independent devices in-built camera - to scan customer barcodes.

  • To edit the settings of this web page and gain the website link, navigate to:
    Settings > Service store > Self Checkin

Self Check-in Kiosk Settings

Require competency to self check-in to scheduled bookings

  • Enable to block any person from checking into a scheduled booking where competencies are required. e.g. a Top Rope Belay Check for a Learn to Lead Class.

Require competency for location self check-in

  • Enable to block any person from checking into a location where competencies are required. e.g. a Facilty Orientation.

Restrict check-in if there are any unbypassed waiver flags

  • When enabled self check-in will be restricted if a customer has a flag alert on their waiver. (only applicable if flags have been used in the waiver)

Restrict check-in if there are incomplete waivers

  • When enabled self check-in will be restricted for anyone with an incomplete waiver.


Restrict self-check-in kiosk access on a customer by customer basis

  • When enabled the restriction button will become available in the customer profile under the barcode and for each family member.

Manual Check-in

  • Enable manual check-in to provide a backup option for members who are unable to scan their barcode.

Manual Check in Process

  1. When the Manual Check-in the Manual check in option will be visible on the Self Check-in Screen

  2. When clicked by a customer, this will reveal an input field where they can lookup their Initial then DOB and then confirm their details

  3. If the customer has multiple entry types on file (pass, punch and subscription), they will be able to select the entry method that they wish to use.

For GDPR and Privacy purposes we only show first name, last name initial and masked email address.


Audible Alerts

When enabled will allow you to pick from a bank of presets sounds that will play on your check-in kiosk tablet or computer, used to provide an audible feedback for both success and failed alerts.

  • Failed alerts is popular as this often is also heard by front desk staff, helping to highlight if there is an issue for a customer.

Successful Check-in: For general entry or single booked classes, the kiosk will display a success screen.

Unsuccessful Check-in: If the check-in fails (e.g., no active membership or insufficient credit), the kiosk will display an error message and guide the member on next steps.

Session Check-in

If a customer wishes to use the Self Check-in screen to check in to a session class or event, they need to:

  • Search for their account

  • Select Session Booking

  • Select the Session

  • Check in

Multiple Options/Family Check-in:

  • If a member has multiple bookings or arrives with family, the kiosk will present a screen allowing them to select the specific bookings or individuals they are checking in for.

  • Any outstanding waivers will be displayed


Benefits of Using the Self Check-in Kiosk

  • Increased Efficiency: Streamlines the check-in process, reducing wait times for both staff and members.

  • Improved Member Experience: Empowers members with self-service options, providing a more convenient and independent experience.

  • Reduced Staff Burden: Frees up staff to focus on other tasks, such as assisting members with inquiries or providing personalised service.

Note: To ensure smooth operation, ensure the device hosting the kiosk is independent of your POS computers, has a reliable internet connection and that the barcode scanner (if applicable) is properly connected and configured.


Admin Check-in Permissions

As an extra layer of security, you can determine whether a customer can be stopped from being checked-in by staff or through self check-in if there are any waiver or competency based issues.

Require competency to check-in to scheduled bookings

  • Enable to block any person from checking into a scheduled booking where competencies are required. e.g. Requiring a customer to have a Top Rope Belay competency before checking in to a Lead Class

Require competency for location check-in

  • Enable to block any person from checking into a location where competencies are required. e.g. if you require a customer to have a Gym Orientation competency before checking in.

Restrict check-in if there are any unbypassed waiver flags

  • When enabled check-in will be restricted.

Restrict check-in if there are incomplete waivers

  • When enabled check-in will be restricted for anyone with uncompleted waivers.

Check-in Notifications

  • Disable admin notifications for successful and failed self check-ins.


Point of sale

Location auto Check-in

When enabled, this feature automatically checks in customers who purchase a pass, pack, or subscription product via a Point of Sale (POS) transaction.

  • This speeds up the process from purchase to check-in.

Important Note: Ensure staff are aware this is active so they can confirm the check-in status before completing a sale.
