Setting up your Rental Gear in Clava

How to setup your shoes, chalk and other items you rent to your customers!

Steps:

  1. Create a Rental Category

  2. Set up your rental gear as individual products in the Stock feature

  3. Add the Rental Gear stock item into your POS setup

  4. Create a member benefit for free rentals

This lets you:

  • Add a price for the rental & create free member or member discounted rentals on premium items such as lead ropes.

  • Track inventory (e.g., how many shoes or harnesses you have)

  • Use barcodes or SKUs if needed

  • Organize items with categories for easier POS use

This guide is a series of notes as useful points to setup rentals, it assumes you know how to add a product, edit your POS and create discounts.

Step 1. Create a new product category

Navigation: Products > Stock > Categories (in the new navigation lane)

Step 2. Set up your rental gear as individual products in the Stock feature

Navigation: Products > Stock > Products (in the new navigation lane)

recommendations:

  • Title - Give it a clear title, and use the word rental in, to allow text search.

  • Toggle Favourites to ON

  • Turn Sell Online to the OFF position

  • Use the Variants feature to add in the different size rental shoes you have, or different Belay devices you have

Step 3. Configure the POS

Navigation: Settings > Point of Sale

recommendations:

  • Give the POS item a clear name, such as "rentals"

  • do not input more than 6 products into the rentals sections, this is to avoid a cluttered screen

  • drag the "rentals" POS menu item by the 6 black dots next to your Day Passes menu to increase front desk efficiency

  • Save your changes!

Step 4. Create a member benefit

Navigation: Products > Discounts

recommendations:

  • Make this a member benefit - toggled ON

  • Standard rentals can be set to 100% discount

  • Create a tiered membership discount structure for premium rentals:

    • A VIP membership could get 100% discount on premium rentals

    • A Standard membership could get 50% discount on premium rentals

    • A Basic membership gets no discount on premium rentals.

    • A premium rental could be a lead rope, Grigri, nicer rental shoes.
