Front desk staff guide for selling gift cards

As a Front desk staff member you have 2 options to sell a gift card.

  1. Selling the Gift card via the customers login.

    1. This is the primary option. You can send the gift card directly via the customers email to the receiver, add a personal message and schedule the date that the gift email is delivered.

  2. Selling the Gift card directly to the consumer via the POS module

    1. This option is best if you want to sell a gift card to a customer and then physically transcribe the gift card code onto a physical card. Clava does not currently support a physical gift card process.

Navigation: Customer > Search and Select > Login as customer > Passes and Subscriptions > Gift Cards

Process:

  • Login as the customer & ask any custom field questions that are outstanding

  • Select the Passes and Subscription on the top navigation

  • Select Gift Cards & Select the gift card that best suits the customers needs.

  • If you select the option “This is a gift”

    • Ensure you complete the recipients name and email correctly!

    • Ask the customer the date and time they would like the gift email sent

    • Continue to the POS purchase screen

Navigation: Point of Sale

  • Select the gift card you wish to sell from the POS menu

  • Assign a customer to the transaction

  • The chosen gift card will appear in the cart, add any other items to the cart, if not already done, add the customer to the cart.

  • Complete the sale by clicking Checkout and choosing the required payment method.

  • The customer will receive email confirmation of the transaction.

  • Admins and members can check the gift card by visiting their profile and navigating to Wallet where the newly purchased gift card will appear

  • The gift card will be shown in the Gift Cards section, click on 👁️ Code will reveal the Gift card code that can then be redeemed when making a valid purchase, either by an admin or by the customer/member themselves.

Navigation: Point of Sale

  • When in the POS and ready to complete the transaction, click Checkout, in the next screen choose Gift Card for the payment type.

  • Enter the gift card number and click 'Apply'.

  • The system will then calculate what value from the gift card has been applied, all or some of the value, and then ask you to choose the next applicable payment option, in the case below, the gift card fully covered the amount, so now select 'Free' to complete the transaction.
