How location setting works in the POS for tracking sales

If you run multiple locations on Clava, you can make things easier for your front desk staff by setting up their profiles with a default location. This will automatically show them the right classes, courses, and products for their specific location when they log in. What Happens When Locations are "All"

Sometimes, you might want your team to see information from all locations, like when they're handling customer service or working remotely. If you've set the "Global location" to "All," here's how things work:

  • Choosing a Location for Each Sale in the Point of Sale (POS): When your staff first log in and they have the gloabl location set to All, they'll need to select the location where the sale is happening when first accessing the POS.

  • Filtering Products: Once they choose a location, the Point of Sale will only show the products available at that specific location.

  • Selling for Multiple Locations: If a customer wants to buy something for another location, your staff can simply switch the location in the Point of Sale and add those items to the cart.

  • Important Note: After selling for multiple locations, always switch back to the original location before completing the sale. This ensures all the sales for that transaction are correctly recorded at the original location.

In the example below, the operator has switched to Moorgate to include a General Entry credit for that location as well as for Richmond. Remember to always switch back to the original location before completing the sale.

Key Things to Remember

  • The Point of Sale will always record all items in the cart to the sales ledger of the selected location.

  • You cannot sell items from multiple locations in a single transaction and have each item recorded to its respective location's sales ledger.
