Subscription Duration Settings

This guide details how to manage the duration and minimum term of a recurring Subscription (Membership), or Pack, giving you granular control over when billing ends and under what conditions a customer can cancel.

Subscription duration is determined when setting up the pricing option for a membership pack.​

Navigation: Products > Passes and Subscriptions > Select a new or existing option > Edit

Key settings controlling subscriptions:

Pricing

  • Pricing: The value!

  • Billing interval: .

    • Set the cycle for the renewal period (day, week, month, or year). For example, for a monthly renewal, set the interval to 1 and select "month".

  • Initiation Fee:

    • A useful fee creation option, designed to reduce churn.

  • Subscription Duration:

    • By default, the Subscription duration is set to run indefinitely (meaning the subscription renews continuously until manually canceled).

    • To set a fixed end date: Disable the default duration option. You can then specify the exact number of cycles (e.g., 6 cycles for a 6-month subscription that bills monthly) the subscription should renew before it automatically cancels..

    • This is handy if you want to offer a one-time subscription of, say, 12 months.

  • Subscription Minimum Term

    • The Subscription minimum term ensures a customer remains active and continues to be billed for a set period before they are eligible to cancel.

    • To enforce a minimum term: Enable this option and specify the required number of cycles (e.g., 3 cycles for a minimum term of 3 months). Subscription charges will continue until this minimum term is fulfilled, regardless of when a cancellation request is submitted.

  • Number of cycles

    • Define the number of cycles a subscription can run for, useful for short term offer creation.

  • Cancellation notice

    • The Cancellation notice determines the number of days a customer must provide before their cancellation is allowed to take effect.

    • Set the required number of days notice (e.g., 30 days). This helps you manage revenue and membership slots, ensuring a customer cannot immediately stop billing.

  • Charge Cancellation Fee?

    • Toggling this option on allows you to set a cancellation fee. A simple and effective way to deter cancellation and reduce churn.

  • Subscription Duration

    • Auto set for unlimited, if amended this means the Subscription will end after the specified number of billing cycles. If a minimum term is set, this number must be equal to or greater than the minimum term value.

  • Subscription Minimum Term

    • When enabled, this allows you to set the minimum number of times the subscription renews. This is great if you want to offer, say, an annual subscription that your customers can pay in installments when combined with the minimum term.

    • For example, you have an annual subscription costing £792. You can create a subscription where customers can spread the cost over 12 months:

      • Billing interval set to 1 month

      • Minimum term set to 12 months

      • Price £66

      • This means that the subscription renews monthly at £66 for a minimum of 12 months.

  • Cancellation Notice

    • Set the number of days notice required for cancellation.

  • Cancellation Fee

    • Assign a fee paid by the customer if they wish to cancel.

    • Set the number of credits and how they are to be used.

    • Options for unlimited, specific and non specific assignment.

  • Pricing option status

    • Active or inactive - a draft creation tool

  • Freeze option - toggling enables:

    • Freeze times

    • Minimum freeze period

    • Maximum freeze period

    • Freeze fee - Charged before a pack or subscription can be frozen. Leave blank if no fee is required.

    • Member can freeze? - Enable to allow members to freeze and unfreeze their own pack or subscription.

    • Renewals happen on a specific day in the month

      • Only applicable to Monthly/Yearly cycles

    • Day of the month renewal

    • Defer initial proration

      • Enable to defer membership proration.

      • A great tool to prevent new member churn

    • Member can select renewal day

      • Enable to allow members to change renewal day of the month.

    • Minimum pro-rated amount

  • Sell online

    • Enable for online sales in service store

Restrictions

  • Location restrictions

    • Enable to apply to specific location(s).

  • Age restrictions

    • Enable to limit sale based on customer age.

  • Age groups restriction

    • Select age groups to restrict sales

  • Customer type restriction

    • Enable to require a specific customer type for this pricing option.

  • Off-peak restriction

    • Enable to limit usage to specific off-peak periods.
