Setting up a recurring subscription/membership

This guide will help you set up a one-time subscription/membership on Clava.

Setting Up the Pass, Pack or Subscription:

  1. Click Create New.

  2. Fill in the basic details:

    • Title: Main name of the pass, pack or subscription.

    • Subtitle: A short description.

    • Description: Detailed explanation of the pass, pack or subscription.

    • Additional Settings:

      • Status: Make the pass, pack or subscription purchasable by setting it to "Active".

      • VIP/Priority Booking: Allow customers to book classes exceeding the limit (controlled in Booking & Timetable settings).

      • Delayed Start: Give customers the option to choose their start date.

      • Corporate: Restrict purchase to corporate entities only.

      • PT / Instructors: Limit purchase to personal trainers or instructors.

      • Hidden: Hide the pass, pack or subscription publicly and use a private URL for access.

  3. Set Publishing Options:

    • Active From: Date the pass, pack or subscription becomes available for purchase.

    • Active To: Date to remove the pass, pack or subscription from sale (optional).

  4. Click Create.

Setting Up Pricing Options:

  1. Click Add New Pricing Option.

  2. Title the option (e.g., Standard, Concession).

  3. Add an optional Description.

  4. Set the Price.

  5. Choose Subscription for recurring payments.

    • Note: This option cannot be changed later.

    • Set the billing interval e.g Monthly

  6. Initiation Fee - Enable to charge a one time initiation subscription (membership) set up fee.

  7. Subscription duration - on by default which will allow the subscription to run indefinitely, disable this option to set the number of cycles the subscription should renew. E,g you want something to bill every month, but for 6 months only before cancelling.

  8. Subscription minimum term - Enable this if you want a customer to complete a minimum term e.g 3 months (number of cycles = 3). Subscription charges will continue until this minimum term is fulfilled.

  9. Cancellation notice - The number of days notice a customer must give before cancellation is allowed e.g 30 (days).

  10. Cancellation fee - choose if you wish to charge customers to cancel their subscription

Setting Up Usage:

Define Credits and their usage:

  • Assign Specific Credits: Set up individual credit options.

  • Number of Credits: Total number of credits and their application (e.g., Passes (general entry), Classes (for booking scheduled classes), Courses (for booking courses).

Additional Options:

  1. Pricing Option Status: Set the option to Active or Inactive.

  2. Freeze Options: Allow customers to freeze their pack or subscription (configure settings like number of freezes, max duration, and fees).

    1. Freeze times. How many times a customer can free their membership within a selectable time range.

    2. Minimum freeze period. The minimum number of days a customer can freeze their pack or subscription. For example, setting this to 7 means customers must freeze for a minimum of 7 days.

    3. Maximum freeze period. The maximum number of days a customer can freeze their pack or subscription. For example, setting this to 30 means customers can freeze for up to 30 days.

    4. Freeze fee. Charged before a pack or subscription can be frozen. Leave blank if no fee is required.

    5. Member can freeze. Enable to allow a customer to freeze their own membership via their account log in.

  3. Auto Renew: If this feature is enabled, the pack will automatically renew and charge the customer's card on file once their credits are depleted or the pack reaches it's expiration date - whichever comes first. However, this option cannot be used if this pricing option is designated as an introductory off. (Only for Packs)

  4. Introductory offer: Toggle to mark this pricing option as an introductory offer. Note that Auto Top-up cannot be used with intro offers. (Only for Packs and Passes)

  5. Renewals happen on a specific day of the month. Helpful if you wish to select what day of the month you want to have your Members pay their subscriptions. Turn off to allow the customer to start their subscription on the day of purchase.

Restrictions:

  1. Location: Limit to specific locations.

  2. Age: Restrict purchase based on age.

  3. Customer type. Define the membership by Customer types.

  4. Off Peak: Designate the pack or subscription for off-peak hours.

Final Steps:

  1. Click Create New after configuring all options.

  2. You can add more pricing tiers (e.g., Bronze, Silver, Gold) by repeating the above steps.

  3. Members will see the available pricing options and choose the one that suits them.

  4. Upon purchase, the pack or subscription will be added to their account.

Remember:

  • Pack billing options cannot be edited after creating a pricing option.

  • Clava offers a powerful tool for building diverse pricing structures.
