Head to the Products > Passes & Subscriptions section on the admin sidebar.
Setting Up the Pass:
Click 'Create New'.
Fill in the basic details:
Title: Main name of the pass.
Subtitle: A short description.
Description: Detailed explanation of the pass.
Additional Settings:
Status: Make the pass purchasable by setting it to "Active".
VIP/Priority Booking: Allow customers to book classes exceeding the limit (controlled in Booking & Timetable settings).
Delayed Start: Give customers the option to choose their start date.
Corporate: Restrict purchase to corporate entities only.
PT / Instructors: Limit purchase to personal trainers or instructors.
Hidden: Hide the pass publicly and use a private URL for access.
Set Publishing Options:
Active From: Date the pass becomes available for purchase.
Active To: Date to remove the pass from sale (optional).
Click 'Create'.
Setting Up Pricing Options:
Click 'Add New Pricing Option'.
Title the option (e.g., Standard, Concession).
Add an optional Description.
Set the Price.
Choose Pass for the type.
Note: This option cannot be changed later.
Membership runs indefinitely, activate to give the customer an in-definitive amount of time to use the pass, or add a time limit.
Setting Up Usage:
Define credits and their usage:
Assign Specific Credits: Set up individual credit options.
Number of Credits: Total number of credits and their application (e.g., Passes (general entry), Classes (for booking scheduled classes), Courses (for booking courses). e.g for a 1 day pass, you would assign 1 credit for Passes.
Additional Options:
Pricing Option Status: Set the option to Active or Inactive.
Freeze Option: Allow customers to freeze their pack or subscription (configure settings like number of freezes, max duration, and fees).
Auto Renew: If this feature is enabled, the pass will automatically renew once it is used and charge the customer's card on file once their credits are depleted or the pass reaches it's expiration date - whichever comes first. However, this option cannot be used if this pricing option is designated as an introductory offer.
Restrictions:
Location: Limit to specific locations.
Age: Restrict purchase based on age.
Off Peak: Designate the pack or subscription for off-peak hours.
Final Steps:
Click 'Create New' after configuring all options
Upon creation, the pass will be available to sell via POS or online via your Service store or widget.
Remember:
Pass billing options can be edited after creating a pricing option as well as editing a customers pass once purchased via their account - the only restriction is you cannot change the pass to a pack or subscription.
