Moving Memberships Between Customers
This article explains how operators can reassign an active membership from one customer to another within Clava. This feature is particularly useful for consolidating accounts when a customer has accidentally created duplicates, or when a membership needs to be transferred to a different individual.
Important Note: When a membership is reassigned using this feature, the entire membership (including any remaining validity and associated payment responsibility) is transferred to the new recipient. The new recipient will then become responsible for any future payments related to that membership.
How to Reassign a Membership
Follow these steps to move a membership from one customer to another:
Locate the Customer with the Membership:
Navigate to the original customer's profile who currently holds the membership you wish to move.
Go to their "Passes and Subscriptions" tab.
Identify the Membership to Reassign:
Find the specific membership you want to reassign in the list of their active memberships.
Initiate the Reassignment:
Click on the "..." (More Options) icon next to the membership you wish to move.
Select "Assign member" from the dropdown menu.
Search for the New Recipient:
A pop-up window will appear, prompting you to search for the new customer who will receive the membership. (You can also create a new customer at this point too.)
Enter the name or email address of the new customer.
Select the correct customer from the search results and click on Assign
What Happens After Reassignment?
Once a membership is reassigned:
The membership will immediately disappear from the original customer's profile.
The membership will instantly appear on the new recipient's profile under their "Passes and Subscriptions" tab on their profile.
All future payment obligations for that membership will be linked to the new recipient's account.
The new recipient will gain full access to the benefits and validity period of the reassigned membership.
Common Use Cases for Membership Reassignment
Account Consolidation: A customer has two separate accounts in Clava (e.g., one with a typo in their email). You can reassign their membership from the incorrect account to their primary, correct account.
Transferring Individual Memberships: In specific scenarios (e.g., a gift or a specific agreement), you might need to transfer a single membership between two customers.
