Subscription cancellation & deletion

This guide assists in canceling and deleting a members subscription on their behalf.

Note: This process only works on customers with Active Subscriptions.

Active Pass and Packs will be Deleted, not Cancelled.

Navigation: Customers > search for the customer.

Cancellation Process

  • Locate the subscription by clicking the 'Passes & Subscriptions' navigation

  • Locate the membership in question

  • Click the 3 dots icon beside the membership price.

  • Click on 'Cancel Subscription'

Next you have two cancellation options:

  • Immediate Cancellation: The customer's subscription will terminate immediately. They will lose access to all subscription features and will not incur any further charges.

  • Cancellation at the End of their Current Billing Cycle (date displayed): The customer will retain full access to their subscription until date. At that time, their subscription will automatically expire.

Please Note:

  • Once a subscription is cancelled, it can be recovered by operator or by customer if minimum commitment was not met.

  • Once cancelled the subscription will not renew, however, the customer can continue to book into classes with any remaining credits up until the original renewal date. They will not be able to book anything after what would have been the next renewal date.

Note: An email is automatically sent informing the member of the cancellation.

Cancellation reason

Included as standard is a cancellation reason data capture that both customers and Front desk staff can complete after requesting a cancellation.

The information captured here is available by running the "Passes, Packs & Subscriptions - Cancellations" report for analysis.

Cancellation Window

Similarly to admin operators, a customer can cancel subscriptions directly from their accounts.

However, if a cancellation window has been set on a pass, pack, or subscription, they cannot cancel during this period before the next renewal.

For example, if an operator sets a 10-day cancellation window, the customer will be unable to cancel 10 days or less before renewal.

Deletion Process

  • Locate the subscription by clicking the 'Passes & Subscriptions' navigation

  • Locate the membership in question

  • Click the 3 dots icon beside the membership price.

  • Click on 'Delete Membership'

Confirm the deletion method required:

Clean mode - this will delete membership and credits, cancel and delete all bookings made.

Delete mode:

  • Clean

  • Keep existing bookings

Select Confirm to delete the memebrship
