As an admin user, you can manually book members onto courses in several scenarios. This guide will walk you through the process.

When would you use this feature?

  • A course has already started, and members who attended haven't booked or paid yet.

  • A member wants to enrol but prefers a future start date.

Things to Consider:

  • You can book members onto courses regardless of the course's start date.

  • The system will calculate the pro-rated fee based on the remaining sessions if the course has begun.

  • For future start dates, the system will calculate the price based on the remaining sessions.

  • You can override the price during the point-of-sale transaction (e.g., charge the full price even if enrolling after the start date).

Steps to Manually Book a Member:

  1. Navigate to Courses:

    • Go to the "Courses" section.

    • If nothing appears, click the "Today" or "Upcoming" filter buttons to reveal the course.

  2. Select the Course:

    • Click on the specific course name where you want to enrol the member.

  3. Add Customer:

    • On the course detail page, find the gear icon (⚙️) in the top right corner.

    • Click the icon and select "+ Add customer to course".

  4. Find the Member:

    • Search for the member you want to enroll.

  5. Choose Start Date:

    • Select the desired start date for the course (the member's preferred start date or yours).

    • The price will automatically adjust based on the chosen start date.

  6. Payment Options:

    • Choose the payment method:

      • "Book as unpaid" (if the member will pay later)

      • "Book for free" (if the course is free)

      • "Point of sale" (to process the payment immediately)

    • If using "Point of sale," complete the payment process.

  7. Confirmation:

    • Once the payment is complete (if applicable), the member will be automatically enrolled in the course and all relevant sessions.

Additional Notes:

  • You can override the system-generated price during the point-of-sale transaction.
