Clava allows you to create waivers specifically designed for supervision in indoor climbing centres. These waivers are ideal for situations where one member supervises another, such as a parent supervising their child.

Creating Supervision Waivers in Clava

The process for creating supervision waivers is similar to creating any other waiver in Clava, with just a few additional steps.

Step 1: Accessing the Waiver Setup

  1. Navigate to Settings / Waivers.

  2. Look for the option to create a new waiver.

Step 2: Adding Waiver Details

  1. Enter a clear and concise title for your supervision waiver. For example, "Supervision Waiver - Parent/Guardian."

  2. Locate the section titled "Show at" and select "Add connection".

  3. In the "Applies to" section, choose "Supervisor" from the available options. You can also add an age group (if you have those set up) to the waiver conditions.

  4. Draft the waiver content and set up your questions, outlining the expectations and responsibilities of the supervisor.

When you are done, click Create.

When and How Supervisor Waivers are Displayed in Clava

Supervision waivers are specifically designed to be shown to designated supervisors in Clava. Here's a breakdown of the trigger and visibility:

Trigger:

  • A supervisor waiver is linked to a member profile when another member (let's call them the participant) adds them as a connection and enables the "Supervise Connection" option for that specific supervisor.

Visibility:

  • The linked supervision waiver will be displayed to the supervisor the next time they log in to their Clava account.

Example:

  • Imagine a parent (parent_profile) wants their child (child_profile) to be able to climb at the center. The parent adds the child's profile as family on their account.

  • To supervise the child, the parent also enables the "Supervise Connection" option for the child's profile.

  • By enabling supervision, the parent has triggered Clava to link the supervision waiver to their profile.

  • The next time the parent logs in to their Clava account, they will see the supervision waiver waiting for their review and signature.

In essence, supervision waivers become visible only to designated supervisors when a connection is established with the "Supervise Connection" option activated. This ensures that the waivers are relevant and presented to the right individuals.

Supervising Another Member's Child in Clava

Clava offers a convenient way for members to supervise children who aren't their own, with appropriate waivers to ensure everyone's informed and covered. Here's how it works:

Scenario:

A family who frequents the climbing center wants their child's friend to join them. After consulting with the center's staff and getting approval, they can arrange for supervision.

Steps for Arranging Supervision (Admin User):

  1. Access the member profile of the adult who will supervise the child (the supervisor).

  2. Navigate to the "Connections" section within the member's profile.

  3. Click on "Add a connection +" and select the connection type "Add someone else's child".

  4. Locate the child's profile (presumably created by their parent or guardian beforehand) and add them as a connection. A child is shown in grey and indented under their connected parent or guardian name.

  5. Crucially, enable the "Supervise Connection" option for the child's profile.

Triggered Waivers:

By enabling supervision, two waivers will be automatically triggered in Clava:

  • Supervisor Waiver: This waiver will be directed to the adult supervising the child (the one whose profile you accessed in step 1). They will need to review and sign this waiver before supervising the child.

  • Supervised Waiver: This waiver will be sent to the parent or guardian of the child being supervised. They will need to review and sign this waiver to grant permission for the child's participation under the supervisor's care.

Important Note:

Currently, Clava requires parents of children who will be supervised by other members to have an existing account with the climbing center. This ensures proper communication and waiver management.

By following these steps and utilising Clava's supervision features, you can streamline the process of allowing members to supervise children who aren't their own, while maintaining clear liability agreements and promoting a safe climbing environment.

Supervising Another Member in Clava

Supervising another member in Clava follows the same process as supervising another member's child, with just a minor difference in the connection selection step.

Steps:

  1. Access the member profile of the adult who will supervise (the supervisor).

  2. Go to the "Connections" section.

  3. Choose "Another member" (for supervising another adult).

  4. Find the profile of the member being supervised and add them as a connection.

  5. Enable the "Supervise Connection" option for the added profile.

Triggered Waivers:

  • Supervisor Waiver: Sent to the supervising member for review and signature.

  • Supervised Waiver: Sent to the member being supervised for review and signature.

Adding Connections in Clava: Understanding User Roles and GDPR

Clava's connection system is designed to manage supervision between members, but with some limitations due to data privacy regulations (GDPR). Here's a breakdown of who can add connections and why:

  • Admin Users: Admins have full control over member profiles and can add any type of connection, including supervising adults, children of other members, or even family members.

  • Regular Members: Due to GDPR restrictions, regular members can only add connections for their own family members. They cannot directly add other members or their children.

Why the Restriction?

Clava prioritises user privacy and adheres to GDPR regulations. Adding connections often involves linking waiver requirements, which can be seen as personal data. To ensure proper consent and data control, Clava limits regular member actions related to other members' profiles.

Alternatives for Supervision Requests

If a regular member needs supervision for themselves or their child (who doesn't have an existing account), here are some options:

  1. Contact the Climbing Center Admin: Inform the center's admin about the supervision request. They can access member profiles and establish the connection with the "Supervise Connection" option enabled.

  2. Request Family Member Addition (if applicable): If the supervisor is a family member, the member can directly add them through the "Family" section.

By understanding these limitations and exploring alternative solutions, you can ensure proper supervision arrangements are documented within Clava while respecting user privacy.
