Clava empowers you to manage your business with a touch of finesse by offering global controls over bookings and timetables. Let's delve into these settings to understand how they can streamline your operations and enhance the member experience.

Bookings
Limit Bookings:
This feature precisely controls how far in advance members can book their classes. For instance, you can set a limit of 14 days, ensuring members can only book classes happening within the next two weeks.
Override option: You can override this global setting on an individual class level when editing a class, toggle on Limit Bookings and add any number of days up to 365 to allow advanced booking.
VIP/Priority Booking:
Enable this setting to grant VIP memberships the privilege of booking classes further in advance compared to regular memberships. This can be done by toggling on "VIP/Priority Booking" and assigning VIP status to specific memberships.
Late Cancellation:
Define the window before a class starts when cancellations will no longer be eligible for credit refunds. Turn on "Late Cancellation" and set the number of hours as desired.
Custom session check-in buffer times:
Enable this to allow you to control how much time (in minutes) a customer has to check-in to a class or session before it starts and after the class has begun.
Timetable
Timetable range:
Control how much of your schedule members can see at once. Setting a value (e.g., 14 days), you can restrict them to viewing only the next two weeks' worth of classes. Any valid value between 1 and 365 days can be used.
Display Session Availability on Timetables:
When enabled, your timetables will show the number of available and booked slots for each session in your service store and widgets.
Memberships
First Use Activation:
Provide flexibility to members by offering a grace period to activate their purchases. Enable this feature to allow passes, packs and subscriptions to have a delayed start. You are required to define the number of days (between 1 and 90) they can wait before their purchase officially begins.
Max number of Days
Maximum number of days that the first use activation can be delayed by.
Subscription Proration
Toggle to allow Subscriptions to be prorated.
When Minimum Pro-rated amount:
The minimum amount to charge after pro-ration is applied. Set at an individual pricing option level.
Renewals happen on a specific day in the month:
Provide flexibility to members by offering the option for memberships to start on a specific monthly renewal date. e.g. 1 for the 1st of the month. Enabled at an individual pricing option level.
Also a great way to provide a daily cash flow for your business!
Defer initial proration:
The subscription proration will not be charged at the time of sale, rather on the first renewal date. (e.g. a customer’s inital prorated subscription charge of $10.00 is deferred to month 2, with the first month charging the full subscription amount). A potential tool to reduce early churn of memberships.
Member can choose renewal date
Toggle ON to allow Members to choose their own renewal date.
Apply changes to all pricing options:
To activate your changes to all your membership options, toggle and confirm by typing “confirm”.
