e.g: expiration date, credits, price etc from within their profile

Editing a customers pack or subscription in Clava

This article guides you through editing a customers existing pack or subscription details, including expiration date, remaining credits, and price (with some limitations).

Steps:

Access the customers profile:

  • In the Clava side menu, click on "Customers."

  • Search for the customer you want to edit and click on their name.

Open the Pass or Subscription Details:

  • In the customers profile view, in the profile menu click on the "Passes and Subscriptions".

  • Locate the existing pack or subscription and click on the three dots (...) next to the price.

  • Select the option you require

    • Edit will open up the Update Customer sidebar

    • Add Credits & Remove Credits allows you to manually update the credits available to a customer from their membership. - note if a customers membership does not include a credit type e.g. Sessions, you cannot add it in.

    • Assign Member, if you need to re-assign the pass, pack or subscription to someone else, do so here.

Understanding the edit panel

The panel resembles that when creating a pack or subscription pricing option, but with some key differences:

  • A notice will inform you about the impact of your changes.

  • Two buttons appear: "Schedule changes" and "Apply now.".

Grandfathering (Immutability)

  • Refer to the "Price protecting a membership (Grandfathering)" article for details on protecting a member's current price.

  • Use the "Immutability" toggle to prevent price changes in the parent pack or subscription from affecting this specific customer.

Price

  • Here you can edit the Pricing structure of the Pass, Pack or Subscription.

  • These items include: Price, Subscription Billing interval, Day of the month renewal, Member can change renewal day, Minimum pro-rated amount, Subscription duration, Subscription minimum term, Cancellation notice & Charge cancellation fee.

Expiration

A membership's lifecycle is governed by its expiration date, in this section you can update this for the individuals pass, pack or subscription.

  • One-time memberships: Expire based on expiration date or when credits have run out, whichever happens first. (Auto renewable memberships will renew automatically.)

  • Subscriptions: Will renew automatically on expiry/renewal date.

  • Changing the expiry date: You can extend this membership by adjusting the current expiry date.

  • Current expiration date - stated information, this can be edited using the Green Change text button

Usage

Define the number of credits and how they are to be used.

  • Assign specific credits - Disable this to set specific credit amounts.

Options

  • Freeze option: Toggling this enables freezing and customise freeze settings.

Freeze settings:

  • Freeze times

  • Minimum freeze period

  • Maximum freeze period

  • Freeze fee - reminder, this is charged before a membership can be frozen, not on a reoccurring basis. Leave blank if no fee is required.

  • Member can freeze: Enable to allow members to freeze and unfreeze their own pack or subscription via their customer login.

Restrictions

  • Location restrictions: Enable to apply to specific location(s) restrictions to the pass, pack or subscription.

  • Age restriction (Age Groups)

  • Off-Peak restricition

Note Regarding Changes:

Pricing and Usage: These changes will only affect the customers account after their current pack or subscription renews.

  • Options and Restrictions: These modifications will be applied immediately to the customers account.

Applying the Changes:

  • Decide how you want the edits to take effect:

    • Schedule changes: Select this option if you want the pricing and usage changes to happen only after the customers next renewal.

    • Apply now: Choose this option if you want the changes to options and restrictions to be applied immediately to the customers account.

Remember:

  • Pricing and usage changes won't affect the customer until their pack or subscription renews.

  • Use the "Immutability" toggle to safeguard a customers price etc from future adjustments.
